General Services Staff under SAARC Tuberculosis and HIV/AIDS Centre (STAC) SAARC Tuberculosis and HIV/AIDS Centre (STAC) invites applications from qualified Nepalese Candidates for the following posts. The vacancy notices for the position of Administrative Officer—GSS-I were posted in Gorkhapatra on 17 December 2024.
Post: Administrative Officer (GSS-I) – One
Age: 21-35 / (Age up to 40 years for the female candidate)
Qualifications: Master’s Degree in M.COM/MBA/MPA/MBS.
Duty Station: Thimi, Bhaktapur
Closing date: 20 January 2025
Date of Joining: Ten (10 days from the date of issue of the offer letter)
Duration : (contractual basis for a maximum duration of three years, including a one-year probationary period, extendable based on performance and conduct).
Work Environment: Office setting. Some travel may be required to attend meetings or conferences.
Reporting Structure: Reports to the STAC Director.
Brief Job Description:
We are seeking a highly organized and responsible Administration Officer, GSS-I to join our STAC team. The role involves managing office operations, supervising administrative staff, maintaining office records, and providing comprehensive administrative support to the team. The successful candidate must be proficient in prioritization and organization, with the ability to handle multiple tasks simultaneously. The job requires excellent communication skills and a solid understanding of office management systems.
– Proven experience in the similar administrative officer role in Diplomatic Organization/ Embassy/ Government Agencies preferable.
– Strong organizational and time management skills.
– Excellent written and verbal communication skills.
– Proficiency in Microsoft Office suite.
– Ability to maintain confidentiality and exercise discretion.
– Attention to detail and accuracy.
Working Experience/ duties and responsibilities:
– Work experience as an Administrative Officer/Admin role role, at least 5 years relevant experience in the related post after Master’s Degree, and Coordinating and managing office operations to ensure efficiency and productivity of the STAC.
– Developing and implementing administrative standards, policies, and procedures
– Manage schedules and appointments for senior management ie: SAARC/MOFA/GON/SAARC Member States Embassies in Nepal and Arranging and confirming appointments.
– Coordinate Regional meetings and conferences, including arranging venues- hotel, and travel arrangements.
– Prepare and distribute correspondence, memos, and reports of STAC.
– Maintain office supplies and equipment, and place orders as needed by the STAC.
– Preparing and managing correspondence, reports, and documents and Assist with the preparation of budgets and expense reports for Audit Report of STAC.
– Handle incoming and outgoing mail and packages of the STAC and other material, and distribute them to the relevant departments/personnel.
– Managing databases – organize and maintain filing systems, both electronic and physical for all departments.
– Provide general administrative support, such as answering phones and greeting visitors from Member States and local level.
– Ensuring office equipment is maintained and relevant records are up to date
– Assist with special projects and events as assigned by Director and Professional Staff.
– Handle all agreement with different vendor of STAC.
– Maintaining schedules and calendars for staff.
– Ensuring that health and safety policies are up to date to all employees of the STAC.
– Coordinating staff recruitment and providing orientation and training to new employees of the STAC.

Submissions of both electronic and attested hard copies are compulsory.
A short list for the interview of the applicants will be made as per approved criteria by the internal/ selection Committee. A notice will be sent to the shortlisted candidates only for the interview. No any financial benefits such as travel allowance will be paid to the candidates appearing for the interview.
